This Privacy Notice explains how personal data is collected, used, shared, and protected when using EduNexus, an education management and digital services platform operated by Systems for Development (S4D) Consulting LLC and its affiliated entities (“S4D”, “we”, “our”, or “us”).
This Privacy Notice supplements and should be read together with the S4D Corporate Privacy Policy, which sets out our overarching data-protection principles and governance framework. In the event of any inconsistency, this Privacy Notice applies specifically to EduNexus.
1 Scope of This Privacy Notice
This Privacy Notice applies to personal data processed through the EduNexus platform, including its web-based and mobile applications, modules, integrations, and related services provided to schools, education authorities, and authorized users.
It covers personal data relating to:
- Students
- Parents or legal guardians
- Teachers and academic staff
- School administrators
- Authorized school and system users
2 Roles and Responsibilities
For data processed through EduNexus:
- Schools or education authorities act as the Data Controller, determining the purposes and means of processing student and school data.
- S4D acts as a Data Processor (or service provider), processing personal data strictly in accordance with documented instructions from the Data Controller, except where processing is required by applicable law.
3 Categories of Personal Data Processed
Depending on the modules enabled by a school or education authority, EduNexus may process the following categories of personal data:
a) Student Data
- Full name and student identification number
- Date of birth and gender
- Class, grade, and enrollment status
- Attendance records
- Academic records and assessments
- Transport allocation and usage data (where applicable)
b) Parent / Guardian Data
- Names and contact details
- Relationship to the student
- Payment-related identifiers (excluding full card or bank details)
c) Teacher and Staff Data
- Names and professional contact details
- User roles, permissions, and assignments
- Academic and administrative responsibilities
d) Financial and Transaction Data
- Fee invoices and payment status
- Transaction references provided by third-party payment processors
e) Technical and Usage Data
- User login credentials and access logs
- Device, browser, and application information
- System activity logs used for security, audit, and troubleshooting
f) Location Data (Transportation Module Only)
Where the school transportation module is enabled, EduNexus may process location-related data strictly for the purpose of providing transportation services. This may include:
- Approximate or real-time location of school transport vehicles
- Pickup and drop-off location points associated with a student’s assigned route
- Route progression, trip status, and timing information
Location data is collected only during scheduled transport operations, is not used for continuous background tracking, and is not used for advertising, profiling, or behavioral monitoring.
EduNexus does not access precise device-level location data unless explicitly configured by the school or transport operator and permitted under applicable law.
4 Purposes of Processing
Personal data processed through EduNexus is used solely for legitimate education-related purposes, including:
- Student enrollment, administration, and academic management
- Attendance tracking and reporting
- School transportation coordination and safety, including route planning, trip monitoring, pickup and drop-off verification, and operational communication with authorized personnel (where enabled)
- School fee billing and payment tracking
- Communication between schools, parents, and authorized users
- System security, access control, and audit logging
- Regulatory, reporting, and record-keeping obligations
- System support, maintenance, and continuous improvement
Personal data is processed only to the extent necessary to fulfill these purposes.
5 Lawful Bases for Processing
Depending on the applicable jurisdiction and context, processing under EduNexus is based on one or more of the following lawful bases:
- Performance of a contract (education services provided by the school)
- Legal or regulatory obligations applicable to educational institutions
- Public interest in the administration and management of education systems
- Consent, where required, particularly for parent or guardian data
Where consent is relied upon, it may be withdrawn in accordance with applicable law.
6 Data Sharing and Disclosure
Personal data processed through EduNexus may be shared with:
- Authorized school administrators and staff
- Education authorities, where legally required
- Third-party service providers supporting:
- Payment processing
- Messaging and notifications
- System hosting and infrastructure
- Transportation operations (where applicable)
- Regulatory or law-enforcement authorities, where required by law
All third-party processors are bound by contractual confidentiality and data-protection obligations.
EduNexus does not sell personal data.
7 Location Data Use for Transportation Services
EduNexus accesses and processes location data only when the transportation module is enabled by a school or education authority.
Location data is used exclusively to:
- Support student transport logistics
- Monitor school vehicle routes during scheduled trips
- Improve safety, coordination, and operational efficiency
Location data:
- Is accessible only to authorized school or transport personnel
- Is retained only for as long as necessary for transport operations and compliance purposes
- Is not used for advertising, analytics unrelated to transport, or tracking outside transport activities
Parents or guardians may obtain further information about transport-related data processing through the school or education authority acting as Data Controller.
8 Children’s Data Protection
EduNexus is designed for use in formal education settings and processes children’s data only under the authority of schools or education authorities.
Safeguards include:
- Role-based access controls
- Limited data visibility based on user role
- Secure authentication and authorization
- Processing strictly aligned to educational and operational purposes
Parents or legal guardians may exercise applicable data-protection rights through the relevant school or education authority.
9 Data Retention
Personal data is retained only for as long as necessary to:
- Fulfill educational and administrative purposes
- Meet legal, regulatory, and audit requirements
- Comply with documented instructions from the Data Controller
Retention periods are determined by the school or education authority and applicable law.
10 Data Security
S4D implements appropriate technical and organizational safeguards, including:
- Role-based access controls and authentication mechanisms
- Encryption of data in transit and at rest (where applicable)
- Audit logging and monitoring
- Secure hosting environments
These measures are designed to protect personal data against unauthorized access, loss, or misuse.
11 International Data Transfers
Where personal data is processed or stored outside the country of origin, appropriate safeguards are applied in accordance with applicable data-protection laws and contractual requirements.
